Job Description:
Freight Forwarding Clerk
Job type: Permanent
Location: Fareham
Days/Hours: Monday-Friday / 9am-5pm – Office based
Main Purpose of the Role
Reporting to the Branch Manager, the successful candidate will be responsible for calculating, processing, and issuing all freight invoices for completed export movements, both manually and via automated systems. The role also includes processing and monitoring supplier purchase invoices through the company’s online platform, as well as resolving customer invoicing and payment queries in a timely and professional manner. All duties should be carried out to ensure customer satisfaction and support the profitability of the business.
In addition, the role requires a solid understanding of the end-to-end shipping process, including:
*Communicating professionally and effectively with customers to ensure quotations and shipment requirements are completed accurately and in line with booking instructions.
*Liaising with UK and overseas offices/agents and reporting any discrepancies or special requirements.
*Ensuring compliance with all relevant legislation.
*Operating within established company procedures and statutory regulations, including maintaining a safe working environment.
*Arranging transport with approved hauliers, confirming equipment availability, and agreeing rates where necessary to ensure cost efficiency.
*Preparing accurate documentation for warehouse, haulage, distribution, and shipping teams to support timely cargo loading/unloading.
*Carrying out general administrative duties such as invoicing, filing, handling queries and claims, and verifying costs in accordance with departmental processes.
*Communicating efficiently with internal and external stakeholders via phone, email, systems, and other communication tools.
*Working collaboratively to plan collections and deliveries that meet customer requirements while optimising resources.
*Maintaining awareness of and complying with transport and customs regulations to meet statutory requirements.
Skills & Competencies
*Excellent IT skills.
*Recent experience in a similar role within the freight forwarding industry.
*Strong communication skills across all levels internally and with external customers.
*Thorough understanding of legislative compliance in all aspects of the role.
*Ability to work within agreed operational procedures and statutory safety requirements.
