Contract: Temporary, 3–6 months
Location: Hybrid – Reading & Oxford offices
Hours: Full-time
About the Role
An exciting opportunity has arisen for a proactive, highly organised Executive Office Assistant to join an NHS organisation on a temporary contract of 3–6 months.
This role provides high-level administrative and executive support to Chief Officer(s), ensuring the smooth running of their daily operations and contributing to broader corporate projects. You’ll act as a key link between senior leadership teams, internal colleagues and external stakeholders, working with professionalism, discretion and accuracy.

Key Responsibilities
Executive & Administrative Support
*Manage complex diaries, inboxes and meeting schedules for Chief Officer(s).
*Prepare agendas, take high-quality minutes/notes, and maintain action and decision logs.
*Draft, proof-read and format letters, correspondence, briefings and reports.
*Ensure efficient coordination of meetings, events and executive forums.
Corporate Governance & Project Support
*Assist with committee administration including tracking attendance and conflicts of interest.
*Support annual governance activities such as information gathering for published reports.
*Monitor progress of tasks and projects, ensuring timely updates and follow-through.
Stakeholder Communication
*Build and maintain positive relationships with internal and external stakeholders.
*Prepare clear and concise briefings, reports and updates.
*Support communication activities across teams and with external partners.
Data, Information & Systems Management
*Develop and maintain databases, trackers and reporting tools.
*Analyse and present complex information to support decision-making.
*Uphold high standards of information governance and record keeping.
Team Support & Coordination
*Support and train new staff as needed.
*Provide supervision to administrative colleagues when required.
*Contribute to recruitment processes for support roles.
About You
We’re looking for someone who is:
Highly organised with excellent attention to detail
A strong communicator, both written and verbal
Confident handling confidential and sensitive information
Experienced in supporting senior managers or executives
Able to work independently and under pressure to tight deadlines
Skilled in MS Office and digital administration tools
Comfortable working across multiple office sites when needed
NHS or public sector experience is desirable but not essential if you can demonstrate strong transferable skills.
