Job Description:
The Role
Our client is seeking a highly organised and proactive Personal Assistant to the Director to provide comprehensive support across several businesses. Based at the head office in North West London, this is a fast-paced and varied role that involves assisting the Director with both business and personal administrative responsibilities, while also supporting operational and project-based work within the property portfolio.
The successful candidate will act as a key point of coordination, ensuring the Director’s schedule, communications, and business operations run smoothly. The role offers excellent exposure to property investment and development projects, alongside general business operations, making it ideal for someone with strong organisational skills and a hands-on approach.
Key Responsibilities
Executive & Administrative Support
Provide direct administrative and organisational support to the Director, including diary management, scheduling meetings, and coordinating appointments. Manage emails and correspondence, ensuring timely responses and effective communication. Assist with general life administration such as travel arrangements, insurance, and other personal tasks as required.
Office & Operational Support
Support office management and general administration across the business, helping ensure day-to-day operations run efficiently. Maintain accurate and well-organised documentation, records, and files while assisting with project management workflows to ensure tasks are completed on schedule.
Property & Project Coordination
Support oversight of the property portfolio by liaising with property management teams and assisting with reporting and updates on investments. Help coordinate development projects by communicating with surveyors, valuers, and external stakeholders. Assist with drafting planning applications and ensure important correspondence, deadlines, and documentation are carefully tracked and managed.
Experience & Skills
Previous experience working as a Personal Assistant or Executive Assistant. Exposure to property or finance is beneficial, although a strong interest in learning about the sector is equally valued. Strong organisational, prioritisation, and deadline management skills are essential, alongside excellent attention to detail and the ability to manage multiple tasks effectively.
Candidates should demonstrate strong communication skills, a proactive mindset, and the ability to work collaboratively with internal teams and external stakeholders. Proficiency in Microsoft Excel or Google Sheets is required. The successful candidate will be hands-on, adaptable, and comfortable working in a fast-paced environment while maintaining high levels of organisation and professionalism.
