Role: Administration Assistant (Scheduling)
Location: Hampstead, London (NW3) / Hybrid
Salary: Up to £30k
Hours: Mon - Fri, 9am - 5:00pm
Reporting to: Head of Business Operations & Engineering

About the role:
Due to ongoing growth and investment in people within the business, we are now looking to recruit a Scheduling & Administration Assistant to join our Business Operations and Engineering team. The Scheduling & Administration Assistant will provide administrative support to the team, scheduling reactive and scheduled maintenance for the engineering team, managing data input, maintaining stock usage and maintaining tracker for billing clients for maintenance. Additional responsibilities include; input and issuing of refunds, maintenance and scheduling of signage audits ad communications with suppliers and internal teams
Responsibilities of the Scheduling and Administration Assistant:
*Daily scheduling of reactive and planned engineering maintenance. Planning the engineers work load for the day, issuing jobs sheets.
*Ensuring that all job tickets are closed off each day by the engineers and stocks used uploaded.
*Liaising with the account management team for purchase orders or authorisation for works required at client sites and updating purchase logs.
*Liaise with cash collection suppliers regards late or non-collections and new site start-ups.
*Maintain site visit reports, updating distribution list.
*Stock allocation and stock system updates, month-end stock audits and reporting to accounts.
*Analysis of stock shortages and overages.
*Cheque banking and processing to update the systems.
*Supplier invoice reporting.
*Updating Salesforce with products, quotations.
Skills required for the Scheduling and Administration Assistant :
*Excellent organisational and time management skills.
*Strong communication and interpersonal abilities.
*Proficiency in stock control, planning and ticketing software and tools.
*Attention to detail and ability to maintain accurate records.
*Problem-solving and analytical skills.
*Ability to work independently and as part of a team.
