Job Description:
HR Assistant
Location: Coulman Street, Thorne, Doncaster, South Yorkshire
Grade: D4
Start Date: Immediate
Overview:
The HR Assistant will provide comprehensive administrative and operational support to the HR team within a fast-paced food manufacturing environment. This role is key in ensuring HR processes run smoothly, supporting compliance with UK employment legislation, and maintaining accurate employee records.
Recruitment & Onboarding
*Assist with end-to-end recruitment processes (advertising roles, shortlisting, interview coordination).
*Prepare offer letters, contracts of employment, and onboarding documentation.
*Conduct right-to-work checks in accordance with UK Visas and Immigration guidelines.
*Coordinate induction programmes for new starters, including factory-based employees.
HR Administration
*Maintain and update employee records and HR systems in compliance with UK General Data Protection Regulation (UK GDPR).
*Process contractual changes, absence records, and employee correspondence.
*Support payroll preparation by collating and verifying employee data.
*Monitor and track probation periods and performance review deadlines.
*Conduct daily timesheet and hours checks for departments.
*Ensure any issues are reported in a timely manner to the Head of HR.
*Monitoring and responding to the HR inboxes providing prompt responses.
*Assist in the filing, scanning and administration of employee documentation.
*Maintain databases and training matrices / sign off matrices and chase for outstanding documentation.
*Administrate the Occupational Health clinics including the organising of appointments, liaising with the Nurse on the days and post admin actions in a timely manner.
*Ensuring new starters and leavers are maintained in a timely manner.
Employee Relations Support
*Provide administrative support for disciplinary, grievance, and absence management processes.
*Take minutes at HR meetings where required.
*Respond to general HR queries from employees and manager in a prompt manner.
*Report any issues to the Head of HR.
Compliance & Policy
*Support audits and inspections relevant to HR documentation.
*Help maintain training records, including food safety and health & safety certifications.
Learning & Development
*Coordinate training sessions and maintain training logs.
*Support the organisation of mandatory training such as food hygiene and workplace safety.
Person Specification
Essential
*Previous experience in an HR administrative role.
*Understanding of UK employment law principles.
*Strong organisational and time management skills.
*Excellent written and verbal communication skills.
*Proficiency in Microsoft Office (Word, Excel, Outlook).
*Ability to handle sensitive information confidentially.
Desirable
*CIPD Level 3 qualification or working towards accreditation with the Chartered Institute of Personnel and Development (CIPD).
*Experience within a manufacturing or food production environment.
*Familiarity with HRIS systems and payroll processes.
