Vehicle Hire Officer
Wakefield Council – Transport Services (Phoenix 66)
Contract: Full-time, 3 months
Pay: £14.82 per hour (PAYE)
Location: Wakefield Council
Wakefield Council is seeking a highly organised and proactive Vehicle Hire Officer to join our Transport Services team at Phoenix 66. This is a key operational role responsible for delivering an effective and compliant vehicle, plant and equipment hire service, supporting internal council departments and external partners.
You will manage assets from on-hire to off-hire, maintain statutory compliance records, and provide business and operational support across the Transport Services Unit. This is a workplace-based role within a fast-moving environment, requiring excellent organisation, communication and technical understanding of fleet operations.
Key Responsibilities
In this role, you will:
Hire & Asset Management
*Deliver end-to-end vehicle, plant and equipment hire services, including on-hire/off-hire processes.
*Maintain accurate statutory, licensing and compliance records (Operator’s Licence, certification, insurance) across fleet management systems and web platforms.
*Coordinate deliveries, collections, inspections and maintenance scheduling.
*Manage EV pool vehicles and associated charging points across Phoenix 66 and external sites.
Operational Support
*Liaise with workshops, contractors and suppliers to ensure timely servicing and repair of assets.
*Support procurement activity including tendering, evaluation and supplier engagement.
*Raise purchase orders, validate invoices and maintain compliance with financial procedures.
*Contribute to Health & Safety, compliance and carbon-reduction activities across the service.
Business Support & Administration
*Provide business support to Transport Services, including data entry, reporting and maintaining accurate fleet records.
*Produce performance reports and ensure systems are updated in line with statutory requirements.
*Communicate effectively with internal teams, external partners and service users.
*Support senior officers in monitoring employee absence levels.
*Maintain good employee relations and ensure full compliance with council policies and procedures.
Essential Skills & Knowledge
*Strong understanding of vehicle/plant regulations, technical specifications and compliance requirements.
*Good knowledge of fleet operations, asset management, and health & safety practices.
*Confident IT skills with experience managing data and generating reports.
*Excellent organisation, communication and customer-focused service skills.
*Ability to prioritise workload and work independently in a busy environment.
Experience
*Experience in transport, vehicle hire, logistics, fleet management or a similar environment.
*Experience working with customers, contractors and operational teams.
*Experience using IT systems to maintain records and monitor asset performance.
Qualifications
*Good general education.
*Full UK driving licence (essential).
