JOB TITLE: Customer Services Administrator
DEPARTMENT: Customer Services
REPORTS TO: Planner / Scheduler / UK Customer Services Manager
SALARY: Up to £37,000 (depending on experience)
CONTRACT: Fixed-Term Contract (15 months) – Maternity Cover
JOB PURPOSETo deliver an excellent customer service experience to both internal and external UK clients. Working as part of a close-knit team, the role ensures all customer service activities are completed accurately, efficiently, and in line with company procedures. The postholder may also provide support to other departments as required.
KEY DUTIES AND RESPONSIBILITIESResponsibilities include, but are not limited to:
*Handling inbound telephone calls and responding to customer inquiries
*Setting up new customer accounts and maintaining accurate pricing information on internal systems
*Coordinating responses to customer queries with relevant departments where necessary
*Liaising with internal teams to support effective communication and service delivery
*Logging customer complaints and incidents, gathering all relevant initial information
*Processing sales orders through to invoicing, and communicating any delivery updates to management
*Producing documentation such as order acknowledgements, delivery notes, and packing lists
*Creating works orders and picking stock for set-building requirements
*Shipping and tracking loan sets, liaising with hospitals, distributors, and sales representatives
*Maintaining accurate records of UK consignment stock
*Ensuring all stock transactions are recorded correctly to maintain inventory accuracy
*Conducting regular cycle counts in line with company procedures
*Receiving returned loan instruments and implant sets into stock
*Inspecting instruments for functionality, cleanliness, and missing components using approved checklists
*Managing decontamination of returned items, including arranging returns to hospitals where necessary and processing any applicable recharges
*Picking, packing, and dispatching instruments, implants, samples, and other goods as required
*Processing customer orders, including loading and completing works orders
*Booking finished goods into stock and archiving completed works orders accurately
*Supporting general office administration tasks
*Assisting with data compilation for tender submissions when required
*Ensuring all activities are carried out in accordance with company policies
*Packing and preparing orders and loan sets, which may involve manual handling
