Job Description:
Office Assistant / Receptionist (4 Days per Week, 3-Month FTC)
Location: London (office-based, Monday–Thursday; some flexibility on days)
Contract: 3 months (ASAP start to end of July, with potential to extend)
Hours: 9:00–17:30 (occasional flexibility required)
Salary: Pro rata £35,000 per annum (DOE)
A boutique private equity firm are seeking a proactive and organised Office Assistant / Receptionist to join a fast paced London office. This is a front-of-house and office support role, acting as the first point of contact for visitors while ensuring the smooth day-to-day running of the office.
You’ll work closely with the EA and wider team, supporting with administrative, operational, and practical tasks. This role suits someone hands-on, adaptable, and happy to assist wherever needed.
Key Responsibilities*Welcome and assist visitors, ensuring a professional first impression
*Coordinate guest access and meeting room arrangements
*Prepare refreshments and manage incoming calls
*Manage meeting room bookings and setup
*Assist with Outlook calendars, scheduling, and logistics
*Support simple travel arrangements and maintain team trackers
*Print, collate, and bind presentations (often to tight deadlines)
*Ensure accuracy and quality of all materials
*File documents and assist with general admin tasks
*Maintain kitchen supplies, refreshments, and stationery
*Keep communal areas tidy and organised
*Run occasional errands as required
*Provide ad hoc support to the EA and Office Manager
*Assist with meetings, events, and basic office coordination
Experience & SkillsEssential
*Previous experience in reception or office support, ideally within financial services
*Strong Outlook and Excel skills
*Excellent organisation and attention to detail
*Professional communication and a flexible, can-do attitude
*Exposure to diary management and meeting coordination
*Proactive and hands-on
*Calm under pressure and adaptable
*Professional, discreet, and reliable
*Strong interpersonal awareness and good judgement
