Job Description:
IntroductionTeignmouth Golf Club is a welcoming, well-established members’ club located on the beautiful South Devon coast. Known for its stunning elevated setting and panoramic sea views, the Club offers a memorable golfing experience on a course designed by the legendary Dr Alister MacKenzie. With an active membership and a strong community spirit, TGC is a club with deep roots and a fresh, forward-looking energy — a place where tradition sits comfortably alongside innovative ideas and continuous improvement.
Role PurposeWe are looking for an organised individual to help drive an exceptional member experience. A key role, the Golf Club Secretary will be responsible for efficient, member-focused administration, while supporting the Board in delivering strategic and financial goals.
You will be part of Club life—overseeing communications, facilities, membership services and day-to-day operations, collaborating closely with staff and committees to keep the Club running smoothly. Report to: Board Director
Works closely with: Bar and Catering Manager, Course Manager, Golf Operations Manager, Professional Team, Section Committees, Senior Management Team.
Key responsibilities:*Attracting and retaining members and visitors.
*Administering payroll.
*Upkeep of the clubhouse facilities.
*Ensuring compliance with the governing legal and regulatory frameworks.
*Line management of administrative support.
Marketing, Communications & Member Engagement*Contribute to and support the delivery of the Club’s marketing strategy.
*Lead the Club’s social media presence and ensure GDPR-compliant content.
*Manage the Club’s website to ensure accuracy, usability, and strong representation of TGC.
*Deliver regular, high-quality communication to members across appropriate channels.
*Conduct an annual member satisfaction survey and present findings with recommended actions.
*Promote Club functions, Open competitions, and social events to maximise participation.
*Maintain membership numbers within target bands through retention and recruitment initiatives.
Financial Management*Oversee weekly banking, petty cash, and financial record-keeping.
*Consolidate payroll data and consult with accountants to complete the payroll process.
*Monitor and report monthly cashflow, highlighting key income streams.
*Support annual budget preparation with the Finance Committee.
Operations, Compliance & Facilities*Delegate administrative tasks to the Administrator while retaining responsibility for decision-making, compliance, and strategic oversight.
*Manage office systems, processes and procedures, recommending improvements where appropriate.
*Ensure compliance with employment law, H&S, safeguarding, fire regulations, insurance, environmental and licensing requirements.
*Maintain the Club’s H&S policy, documentation, and risk assessments.
*Manage end-to-end new membership applications and the renewal process including updating membership categories.
*Function as primary point of contact for membership queries during office hours.
*Ensure facilities, cleaning, security, and maintenance standards are upheld.
*Manage contractors and review utility / service contracts for best value.
Strategy, Planning & Governance*Contribute to the Club’s business plan and deliver operational elements approved by the Board.
*Present monthly operational reports and quarterly business plan updates.
*Identify improvements to member services, operational efficiency, and revenue generation.
*Maintain and update Club Bye Laws (subject to Board approval) and ensure clear communication.
*Maintain relationships with external bodies (Devon Golf, England Golf, GCMA etc.).
People Management*Ensure the Administrator has clear workflows, priorities, and support delivering operational excellence!
*Develop and motivate the Administrator modelling Club values.
*Conduct bi-annual appraisals and quarterly performance reviews with the Administrator.
*Maintain daily communication with all staff and Heads of Department to ensure smooth operations.
Personal Profile*Strong understanding of golf club operations.
*Leadership and people-management capability.
*Strong business and financial acumen.
*Excellent interpersonal and communication skills.
*High proficiency in Microsoft Office applications and social media.
*Familiarity with Intelligent Golf is advantageous.
*Member-focused, organised, initiative-taking and solution-oriented.
Benefits:*Complimentary access to the golf course, aligned with contracted working hours.
Working Arrangements:*Flexible
*Additional hours may be required during peak season (April–September), paid up to a maximum of forty hours.
*Occasional evening and weekend work aligned with the fixture and events schedule.
