Administration Assistant (Legal Industry)

We are seeking a dedicated Administration Assistant to join our team. This role is crucial in supporting the firm with a variety of administrative tasks across business support functions and specific legal departments. The ideal candidate will be responsible for audio typing, managing client data and matters using various systems, and providing second line support to our reception.
Day-to-day of the role:
*General Administration:*Provide audio typing support across all departments, including attendance notes, letters, documents, and bills.
*Utilize software such as LEAP, Microsoft Office 365, and other third-party systems to support all departments.
*Manage file administration tasks such as opening and closing files, ensuring file compliance, document bundling, and electronic filing.
*Assist with banking tasks when necessary and take minutes at administrative departmental meetings.

*Reception Support (Second Line):*Efficiently welcome visitors and handle calls.
*Manage messages, escort clients to meeting rooms, and oversee bookings.
*Maintain a tidy reception area and ensure all visitors are aware of fire procedures.

*Post Room Duties:*Handle incoming and outgoing post, including scanning, franking, and dispatch.
*Maintain supplies in the post room and ensure the area is kept tidy.
*Run software updates on the franking machine and monitor stocks of necessary materials.

Required Skills & Qualifications:
*Previous experience in an administrative role, ideally within a legal environment (Desirable).
*Minimum Grade 4 in Maths and English; strong written and verbal English skills are essential.
*Excellent communication skills, confident in managing reception duties and interacting with clients.
*Strong organisational and time management skills, with the ability to manage tasks across functions.
*High level of attention to detail and accuracy.
*Good working knowledge of Excel and Microsoft Office.
*Proactive attitude and a desire to learn.
