Job Description:
Introduction
Teignmouth Golf Club (TGC) is a welcoming, well-established members’ club located on the beautiful South Devon coast. Known for its stunning elevated setting and panoramic sea views, the Club offers a memorable golfing experience on a course designed by the legendary Dr Alister MacKenzie. With an active membership and a strong community spirit, TGC is a club with deep roots and a fresh, forward-looking energy — a place where tradition sits comfortably alongside new ideas and continuous improvement.
Role Purpose
As the Administrator in the Club Office, responsible for accurate data entry, timely communication distribution, and smooth day-to-day processes under the direction of the Club Secretary.
The role includes supporting administrative continuity of office operations, particularly during the Club Secretary’s absence, escalating only matters requiring decision-making authority, and supporting core office functions including member records, Section support, communications, and general administration.
Does not hold decision-making responsibility for governance, finance, membership categories, or policy matters.
Report to: Club Secretary
Works with: Bar and Catering Manager, Golf Operations Manager, Golf Professional and Section Committees.
Key Responsibilities
Member & Visitor Support:
*Manage enquiries via telephone, email, and in person, ensuring they are responded to or directed to the right department or Section Lead.
*Provide accurate information on club services, visitor opportunities, and general club operations.
Administrative Support to the Club Secretary
*Provide day-to-day administrative assistance including correspondence, document preparation, filing, and record-keeping.
*Maintain continuity of office operations when the Club Secretary is out of the office, ensuring urgent matters are managed or escalated appropriately.
*Support governance-related tasks such as meeting papers, minutes, notices, and member communications.
Member Records
*Maintain accurate member information, handle data entries and routine queries.
Operational & Financial Administration
*Follow standard operating procedures for cash handling, refunds, discounts, and general financial administration.
*Assist with basic bookkeeping tasks as directed by the Club Secretary.
*Contribute to meeting revenue and goals through efficient administration and excellent customer service.
Fixtures, Events & Communications
*Support the Club Secretary, Golf Operations and Section Leads in ensuring accurate input into the Intelligent Golf (IG) application.
*Assist with administrative aspects of tournaments and events (e.g., communications, lists, paperwork), while operational delivery remains the responsibility of the Golf Operations Manager.
*Help prepare and distribute member communications, notices, and event information.
Cross-Department Collaboration
*Work closely with the Golf Operations Manager, Professional Team, Catering, Greens, and Senior Management to ensure smooth operational delivery.
*Contribute to the development of value-added services and member-focused improvements.
People Focused Attributes
*Strong people skills with a friendly, professional manner.
*A "no problem" mindset with the ability to build rapport across the club community.
*Organised, accurate, and able to prioritise effectively.
*Awareness of trends and expectations within the golfing industry.
Additional Duties
*Undertake reasonable additional tasks as directed by the Club Secretary or Senior Management.
