Job Description:
A leading law firm is seeking a proactive and highly capable Executive Assistant to support a small group of partners within a fast-paced and demanding Banking & Finance environment. This is a high-profile role requiring exceptional organisation, sound judgement and the confidence to work closely with senior stakeholders while delivering a first-class client service.
This opportunity would suit an experienced Executive Assistant who thrives under pressure, enjoys variety, and can adapt seamlessly to different working styles. You will play a pivotal role in supporting partners to operate at their best, taking ownership of complex administrative, financial and operational responsibilities.
Key responsibilities*Act as a professional, client-focused ambassador for partners, both internally and externally.
*Take full ownership of partner diaries, proactively managing meetings, appointments and logistics to ensure schedules run smoothly.
*Anticipate and resolve diary conflicts, prioritising effectively in a fast-moving environment.
*Manage partner inboxes where agreed, drafting responses, escalating urgent matters and coordinating with fee earners and secretarial colleagues.
*Coordinate complex billing and compliance processes, demonstrating strong commercial and financial awareness.
*Organise WIP reviews, billing meetings and liaise with finance teams to ensure deadlines are met.
*Take responsibility for matter management, including chasing unpaid bills where required.
*Build trusted, effective working relationships with partners, arranging regular catch-ups to align on priorities and workloads.
*Introduce best practice processes to improve efficiency and partner effectiveness.
*Attend meetings, take minutes and follow up actions to completion.
*Work closely with Marketing and Business Development to coordinate events, seminars and conferences.
*Arrange domestic and international travel, managing all details end-to-end and accommodating individual preferences.
*Develop a strong understanding of the partners’ practice areas, clients and strategic goals.
