Job Description:
Our client is a well-established charity, is seeking a Front Of House and Operations Assistant to join the team on an ongoing temporary contract. Operating a specialist library and archive that is open to the public and widely used as a research centre.
The purpose of this temporary role is to support the effective day-to-day operation of the Library by providing colleagues, readers, and visitors with a warm, professional, and well-informed welcome.
As part of the Operations Team, you will play a key role in front-of-house service delivery, visitor engagement, and event support, while also contributing to core operational activities, including records management and collection handling.
This role will be based onsite, and the ideal candidate will be immediately available to start.
Main Duties & Responsibilities
Front of House
*Provide a professional and welcoming front of house service, greeting visitors and directing enquiries
*Manage calls, emails, and in-person queries on a rota basis
*Support and promote effective use of the collections by engaging with readers and visitors
*Receive, sort, distribute, and send mail and deliveries
Events Support
*Prepare, set up, and support the delivery of events
*Arranging room layouts (theatre, boardroom, classroom styles)
*Setting up AV equipment, signage, and materials
*Preparing tea, coffee, and light refreshments
*Resetting and maintaining spaces after events
Operations Support
*Manage retrieval, issuing, tracking, and return of files and records
*Ensure service levels and deadlines are met
*Complete data entry, accessioning, and filing tasks accurately
*Respond to internal enquiries and support information requests
*Assist with lifecycle management of materials including transfers, storage, and stock checks
*Maintain accurate records across both manual and digital systems
Essential Experience
*Minimum 3 years’ experience in a Front Of House, public-facing or customer service role
*Experience working in a library, archive, or similar environment
*Experience supporting events or working in hospitality/catering environments
*Confident using Microsoft Office (Word, Excel) and databases
Skills
*Strong organisational and administrative skills
*Excellent written and verbal communication
*Strong interpersonal and teamwork abilities
*Ability to prioritise workload and work under pressure
*Proactive problem-solving approach
*Ability to support event setup, including moving furniture and equipment
*Flexible approach to working hours
*Customer-focused, professional, and approachable
*Positive, adaptable, and reliable
*Self-motivated with a willingness to learn
*Good general education including English and Maths
*Ability to safely handle materials and work at height where required
*Experience using archive or records systems (e.g. CALM) (Desirable)
*Experience in heritage, cultural, or research environments (Desirable)
*Interest in history or archive collections (Desirable)
