We’re currently recruiting for a Conveyancing Onboarding Administrator to join a busy and growing conveyancing team. This is a fantastic opportunity for someone with strong administrative skills and an interest in property law to play a key role in ensuring transactions get off to a smooth and compliant start.
The RoleYou will be responsible for supporting the onboarding process within the conveyancing department, ensuring all new matters are opened accurately, client due diligence is completed, and files are fully prepared before being passed to fee earners.
This is a highly organised, detail-driven role, requiring strong communication skills and the ability to manage multiple tasks efficiently.
Key Responsibilities Administration*Open new conveyancing files accurately on the case management system
*Maintain well-organised electronic files in line with firm procedures
*Input client, property, and transaction details with a high level of accuracy
*Set up workflows, tasks, key dates, and reminders
*Prepare and issue onboarding packs and standard documentation
Client Onboarding & Communication*Issue client care documentation and obtain signed terms of business
*Act as the first point of contact for onboarding queries
*Request and chase outstanding documents in a professional and timely manner
*Ensure clients understand onboarding requirements and deadlines
AML & Compliance*Carry out CDD checks including ID and address verification
*Review source of funds/wealth documentation
*Identify and escalate any AML concerns or discrepancies
*Maintain clear audit trails for all onboarding activity
Transaction Readiness*Gather details of third parties (estate agents, lenders, solicitors, etc.)
*Request key documentation to support the start of transactions
*Ensure files are fully complete and "fee-earner ready"
Compliance & Quality*Ensure all processes comply with AML regulations, SRA requirements, and data protection policies
*Maintain accurate file management, document control, and confidentiality
*Contribute ideas to improve onboarding processes and workflow efficiency
Team Support*Liaise with fee earners, assistants, and internal teams to ensure smooth handovers
*Provide general administrative support across the conveyancing team as required
What We’re Looking For*Previous administration experience (legal or conveyancing preferred)
*Strong organisational skills and excellent attention to detail
*Confident communicator with a professional approach to clients
*Ability to manage multiple tasks and deadlines effectively
*Understanding of compliance and confidentiality
*Experience with case management systems (desirable)
