We are seeking a highly organised and detail-oriented Warehouse Coordinator to support the smooth running of warehouse operations and project logistics. This role is key in ensuring accurate ordering, tracking, and distribution of materials, as well as maintaining clear communication between internal teams, suppliers, and clients.
Key Responsibilities
Procurement & Supplier Management
*Place orders with suppliers, ensuring correct quantities and product codes are used.
*Monitor supplier lead times and follow up on outstanding orders.
*Raise purchase orders (POs) and ensure accuracy against supplier invoices.
*Order samples from suppliers and verify quality and quantity upon receipt.
Inventory & Stock Control
*Maintain accurate records of all ordered and received materials.
*Monitor stock levels and reorder supplies as required.
*Assist with stock audits and report any discrepancies.
Goods In / Goods Out
*Receive and check deliveries against purchase orders.
*Coordinate distribution of goods to the appropriate internal teams.
*Prepare, pack, and label items for dispatch.
*Schedule collections and deliveries with couriers and suppliers, including arranging shipments via courier services.
Documentation & Administration
*Maintain organised project folders containing order confirmations, delivery notes, and related documentation.
*Keep accurate logs of deliveries, orders, and project progress using internal systems (Excel/CRM).
*File and manage invoices, delivery notes, and order records systematically.
*Prepare regular reports on orders, deliveries, and stock levels.
Quality & Record Keeping
*Photograph materials and samples for record-keeping and future reference, ensuring they are stored in project-specific folders.
*Ensure all items received meet expected quality standards.
General Duties
*Manage incoming emails and correspondence in a timely manner.
*Order and maintain office supplies where required.
*Support general administrative tasks to ensure efficient daily operations.
Key Skills & Experience
*Previous experience in a warehouse coordination and logistics
*Strong organisational skills with excellent attention to detail.
*Ability to manage multiple tasks and priorities effectively.
*Good communication skills for liaising with internal teams, suppliers, and clients.
*Proficiency in Microsoft Excel and general CRM systems.
*Experience handling purchase orders, deliveries, and stock management is desirable.
