Contract: Initial 2-month temporary assignment - could go on longer.
Salary equivalent: £45,000–£50,000 FTE
Facilities Manager or Office Manager to provide part-time support for a central London organisation. This is a varied, hands-on role combining facilities coordination, office management and administration . The successful candidate will oversee the day-to-day running of the building, coordinate planned and reactive maintenance, liaise with tenants and suppliers, maintain facilities records and spreadsheets, and provide clear updates and reporting to key stakeholders.
The role would suit someone with solid facilities experience who is equally comfortable with the administrative and organisational side of FM , rather than someone focused solely on technical building management.
Key Responsibilities
*Coordinate day-to-day facilities and office management activity.
*Manage planned preventative maintenance (PPMs), routine inspections and reactive works.
*Maintain PPM schedules and ensure actions and follow-ups are completed.
*Coordinate contractors, tradespeople and service providers attending site.
*Liaise with tenants regarding facilities queries, building issues and ongoing works.
*Manage the facilities mailbox and respond to day-to-day enquiries.
*Liaise with energy providers, utilities and other external suppliers.
*Oversee soft services including cleaning, security, reception, catering and waste.
*Support the smooth operation of building services including HVAC, lighting, plumbing and electrical systems.
*Maintain facilities spreadsheets, trackers, maintenance schedules and supplier records.
*Keep facilities, compliance and building documentation accurate and up to date.
*Prepare updates and reports for internal stakeholders on maintenance, works, issues and outstanding actions.
*Support health & safety, fire safety, COSHH, risk assessment and compliance administration.
*Maintain emergency procedures and relevant business continuity documentation.
*Arrange quotations, appointments, planned works and contractor visits.
*Respond to urgent facilities incidents and escalate where appropriate.
*Provide general office management and facilities administration as required.
Experience Required
Previous experience in a Facilities Coordinator, Facilities Manager, Office & Facilities Manager, Workplace Coordinator or similar role would be ideal.
The successful candidate should have:
*Practical experience of day-to-day facilities and office management.
*Experience managing or coordinating PPM schedules and reactive maintenance.
*Strong administrative and organisational ability.
*Confidence maintaining spreadsheets, trackers and facilities documentation.
*Experience reporting information and updates to stakeholders.
*Good contractor and supplier management experience.
*An understanding of hard and soft facilities services.
*Knowledge of basic facilities health & safety and compliance requirements.
*Strong communication skills when dealing with tenants and internal stakeholders.
*The ability to work independently and keep multiple actions organised and moving.
