An established and successful organisation based in Downham Market is looking to recruit a confident and highly organised Sales Administrator. Joining a busy, close-knit sales office, you will play an important role in delivering excellent customer service, processing orders accurately and supporting continued sales growth.This is an excellent opportunity for an experienced administrator who enjoys customer contact and is comfortable making outbound calls, following up enquiries and helping to convert opportunities into orders.
Your new role
Reporting to the Sales Office Manager, you will act as a main point of contact for customers, managing enquiries, processing orders and payments, maintaining accurate customer accounts and coordinating with internal departments and external haulage providers.Alongside the administrative responsibilities, you will proactively contact existing and prospective customers, follow-up quotations and enquiries, and support customer retention and sales conversion.
Your key responsibilities will include:
*Processing customer orders and payments accurately using the company’s sales and accounting systems.
*Preparing sales documentation and maintaining accurate customer account records.
*Creating and opening new customer accounts.
*Communicating with customers professionally by telephone and email.
*Making outbound calls to existing and prospective customers.
*Following up quotations, enquiries and outstanding sales opportunities.
*Supporting the conversion of customer enquiries into confirmed orders.
*Building and maintaining positive customer relationships.
*Responding to customer complaints efficiently and escalating issues where appropriate.
*Working closely with Credit Control to ensure orders remain within approved credit limits.
*Assisting with the follow-up of overdue invoices when required.
*Liaising with Logistics and external haulage companies regarding deliveries.
*Supporting the processing of export orders, including relevant freight terms and documentation, with full training provided.
*Identifying opportunities to improve administrative processes and internal efficiencies.
*Supporting colleagues and undertaking additional administrative duties during busy seasonal periods.
What you’ll need to succeed
You will have previous administration experience, ideally gained within sales administration, customer service, order processing or a similar transactional environment.
You will also need:
*Strong customer service skills, with experience communicating by telephone and email.
*Confidence making outbound sales calls and following up customer enquiries.
*A proactive approach to converting enquiries and quotations into orders.
*Excellent attention to detail and a high level of accuracy.
*Strong organisational and time-management skills.
*The ability to prioritise a varied workload during busy periods.
*Clear written and verbal communication skills.
*Confidence using Microsoft Excel, email and standard office systems.
*The ability to handle complaints and challenging conversations professionally.
*A reliable and consistent approach to attendance.
*The ability to work collaboratively within a small, close-knit team.
*Flexibility to support other departments and respond to changing business priorities.
*A positive and adaptable approach within a fast-moving, owner-led organisation.
Previous experience in outbound sales, telesales, account management, credit control, logistics or export order processing would be advantageous but is not essential. Experience using an ERP, sales or accounting system would also be beneficial.
