Our client is a well-established and growing organisation within the oil and energy sector. Due to continued growth, they are seeking a highly organised and proactive Executive Assistant to provide comprehensive support to senior leadership and help ensure the smooth running of executive operations.
This is an excellent opportunity for an experienced Executive Assistant looking to join a fast-paced and professional environment where no two days are the same.
The Role
As Executive Assistant, you will provide high-level administrative and organisational support to senior executives. You will be responsible for managing complex diaries, coordinating travel, preparing reports and presentations, and acting as a key point of contact internally and externally.
The successful candidate will be an excellent communicator, able to manage multiple priorities while maintaining a high level of confidentiality and professionalism.
Key Responsibilities
*Extensive diary and inbox management for senior executives.
*Organising and coordinating meetings, conferences and events.
*Preparing meeting agendas, board packs and taking minutes where required.
*Coordinating domestic and international travel arrangements, including flights, accommodation and itineraries.
*Screening calls and correspondence and responding where appropriate.
*Preparing presentations, reports and briefing documents.
*Managing expenses and processing purchase orders.
*Liaising with internal departments and external stakeholders.
*Supporting key business projects and ensuring actions are followed through.
*Maintaining confidential records and sensitive business information.
*Assisting with office administration and operational support when required.
Person Specification
Essential Skills & Experience
*Previous experience working as an Executive Assistant, Personal Assistant or Senior Administrator.
*Experience supporting Director, C-Suite or Senior Leadership level staff.
*Exceptional organisational and time management skills.
*Strong Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
*Excellent written and verbal communication abilities.
*Ability to work independently and manage competing priorities.
*High level of discretion and confidentiality.
*Strong attention to detail and problem-solving skills.
Desirable
*Experience working within the energy, engineering, construction, oil & gas or technical sectors.
*Experience coordinating international travel and complex scheduling.
*Project coordination experience.
